Highgate Park, Florida

Booking

The sending of the on-line booking form confirms your acceptance of the terms and conditions set out below and as may from time to time be changed and shall be binding on all persons stated on the booking form. Each booking will be confirmed by the owner, as soon as possible after receiving the booking form and deposit and only on receipt of this confirmation by you will the booking be treated as confirmed. Once the owners have confirmed the booking to you and you have paid a deposit, the named person on the booking form will be responsible for the total rental price of the property, as agreed on the confirmation. The remaining balance of the agreed rental cost must be paid 8 weeks prior to your departure. If the full balance of the rental cost is not paid as in accordance with these booking conditions, we reserve the right to cancel your booking and cancellation penalties will apply.

Security Deposit

The sending of the booking form confirms your acceptance to pay for any damage of any kind caused by your occupancy of the property. The cost of repairs and/or replacements will be deducted from your security deposit prior to the return of the balance. The security deposit will be fully refundable within 30 days after your departure from the property, providing there are no claims against it. In the event of any excess damage of any kind, excessive cleaning costs by our agents or excessive use of electricity (caused by leaving external doors open with the air conditioning on) the named person on the booking form will be held responsible for all additional costs which exceed the security deposit.

Cancellations

Providing the owners receive written notice of cancellation not less than 8 weeks prior to the actual booking date, the signatory will not be liable to pay the full balance. It is the responsibility of the signatory to ensure that the signed cancellation letter reaches the owner. Email cancellations are not acceptable. The reservation deposit will be forfeited. If the cancellation is received after 8 weeks prior to the start of the holiday the signatory is liable to pay the full balance of the final invoice. If the owner is successful in re letting the property for all or part of the reservation period, the full balance or the part balance of the final invoice will be refunded. The owners reserve the right to cancel any bookings providing written notice is given and any balance paid refunded. In the unlikely event that circumstances beyond our control, necessitate cancellation of the booking, we will refund any monies paid to the party leader. (Without interest, compensation or consequential loss of any kind).

Responsibilities

All persons stated on the booking form are responsible for the care of the property and are expected to take reasonable care of it including the locking of all doors, topping up of pool water (as required) and ensuring the security alarm is activated whenever the property is unoccupied. At the end of the rental period, all utensils, carpets, furnishings, walls, fittings must be left clean and tidy. It is the guest's responsibility to notify the management company immediately of any sudden equipment failure so that reasonable action can be take to rectify the situation.

Party Size

The maximum capacity that our villa is licensed for is 10. Everyone occupying the property must be listed on the booking form, including small children. This is Florida state law and must be adhered to. The accommodations cannot be shared or sub-let and only the persons shown on the booking form are permitted to stay in the property. No pets are permitted. Persons under 21 years of age are not acceptable unless accompanied by parents or responsible adults. The property is fully licensed for short-term rentals in Florida. The owners reserve the right to refuse admittance if this condition is not met. Failure to comply will render the booking void and no compensation will be paid.

Smoking/Pets

For the safety and comfort of all our guests smoking is not permitted within the property. No pets are allowed.

Liability

The owners and the management company of the property accept no responsibility whatsoever for death, personal injury, accidents, loss or damage to persons or personal belongings however caused. The use of all accommodations and amenities including the pool is entirely at the user's own risk. Children must be supervised by responsible adults at all times when using the pool. Glass or crockery is not permitted within the pool area. The owners or management company cannot accept any liability for any loss of rental time due to travel problem, flight delays or cancellations, industrial disputes or any events outside our control, including any form of Force Majeure. The owners and the Management Company cannot accept responsibility for the sudden failure of villa equipment but will take immediate reasonable action to rectify any such failure upon notification by the guests. If the pool heater cannot reach optimum temperature due to adverse cold weather conditions the owners or the management company cannot accept liability.

Arrival and Departure

The villa will be available for occupancy from 4.00pm on the date of arrival and must be vacated by 10.00am (prompt) on the day of departure.

Insurance

It is a condition of the booking that all members of the Party are covered by travel insurance which carries adequate protection against delays and cancellations, and has adequate medical insurance for the USA, and for your luggage and personal belongings.

Force Majeure

The owner or the management company accept no responsibility whatsoever and no compensation or any other payment will be made if any cancellation or change to the terms of the booking becomes necessary due to war or threat of war, riots, civil commotion, terrorist activities, industrial disputes, natural and nuclear disasters, fire, flood, adverse weather conditions, building or construction in progress within the community, technical problems with transportation, closure or congestion of airports, alterations or cancellation of schedules by carriers, or any other events beyond our control.

Owners Access

The owners or their management company shall be allowed access at any reasonable time during your stay.

Law

This conduct is subject to and shall be construed in accordance with the laws of England and all parties hereby submit to the exclusive jurisdiction of the English Courts.

Code of Conduct

Highgate Park is a residential community. The actions of all members of your party should not interfere with the enjoyment of either other holidaymakers or the residents of Highgate Park. Please do not use the swimming pool, play loud music or engage in any activity which may cause inconvenience to your neighbors after 10.30pm or before 07.30am. In the event that any member of your party behaves in a way that is likely to cause distress, danger or annoyance to any other holidaymakers, residents of Highgate Park or damage to any property, the owners or their management company reserve the right to terminate your rental agreement immediately and forthwith. The owners or their management company will not be liable for any costs you will incur, nor shall we pay any compensation, nor make any refunds due to this action.

Damages

Any damage noticed upon arrival should be reported to the local managing agent immediately. If damage is not reported, you may be charged for the cost of the repair. All general maintenance should also be reported so the home can be kept in good repair.

In order to protect your security deposit and avoid additional costs, the following must occur:

  • No damage is done to the home or its contents, beyond normal wear and tear; including linens.
  • No items removed from the home or are missing upon the inventory check. All towels, pillows and linens must remain in the house.
  • All debris, garbage and discards are placed in outdoor trash cans and sealed with the lid.
  • Soiled/dirty dishes are placed in the dishwasher, use DISHWASHER DETERGENT ONLY and start the dishwasher.
  • There is no sign of unauthorized pets. We have a firm no pet policy!
  • House is left in neat condition
  • Occupancy is not exceeded
  • There is no evidence of smoking in the house, and cigarette butts are not left on the decks, in the yard, etc.
  • Return keys to the lock box on check-out
  • No parking violations

Damages: You are responsible for any and all damages that occur to the property or its contents by you or any other member of your group, individually or collectively, while you are the registered occupant of the property. By booking this unit, you are bound by this agreement.

Pets

No pets are permitted. If any evidence of a pet(s) is found in the house, you will be asked to vacate immediately with no refund of rent.

Parking

You may park up to 2 cars in our driveway (the unit has room for two in the garage). You may not park or store a boat or jet ski trailer in the driveway. No RVs may be parked in the driveway or hooked up to the house. Do not park in the grass for any reason!

Cleaning

No daily maid service is provided. A one-time set up of linens, bath towels, garbage liners, paper towels, bath soap and toilet paper is included. Vacuum cleaner, brooms, etc are in the home should you need them. Do not remove towels or linens from the home. Please bring your own beach towels. We do not provide beach towels.

Water Level in Pool/Spa

Please can you make sure you keep the water level to the rim of the pool. (use the water hose to top up when required). If water level drops due to evaporation or splashing factor, the pump will suck in air and overheat.

Trash/Rubbish

Trash must be in closed containers / sealed bins and not bags. Trash Bins are kept at the side of the villa, or in the garage. You are responsible for putting out trash cans on Monday and Thursday nights, and bringing them back in the following morning. Trash must only be put at the end of the driveway on the morning of collection. The collections dates may change check the guest info book in villa.NOTE: The trash company will not pick up anything not placed in cans.

BBQ Grills and Grilling

We do not provide a grill due to insurance regulations. If a grill is used on the property please follow these simple instructions:

  • No grilling on the pool deck
  • Do not discard used coals or ash in grass or wet area
  • After coals have been COMPLETELY extinguished, put into a sealed plastic garbage bag and discard in outside waste receptacle

Fireworks

Local City ordinances and fire code prohibit the use of fireworks on all vacation properties.

Checkout Procedures

We know you are on vacation and appreciate your business! Please follow the check-out procedures so we can prepare the house for the next arriving guest as they arrive only hours after you leave. If you leave the unit in great shape, the next family will have access to it on time. Most of our guests follow all of these rules. For the exceptions, this is notice that a $50 fee per hour or per incident (whichever applies) may be charged. We appreciate your cooperation.

Check-out time is by 10:00 am EST. Our cleaners arrive shortly after to start cleaning.

  • Please place all used towels, wash clothes and dish towels (soiled linens) in the tub or shower area of each bathroom. Please do not leave wet towels on the floors as water damage could occur.
  • Strip sleeper sofa bed sheets if used. Place sheets in nearest bathroom shower or tub.
  • Leave beds unmade that have been used.
  • Sweep floors. Vacuum and Broom Dustpan provided in utility room.
  • Place all soiled dishes in the dishwasher and start the dishwasher prior to departure. Use dishwasher detergent only.
  • Please wipe down Kitchen Countertops.
  • Please wipe out the Microwave.
  • Remember to turn off coffeemaker, empty unused coffee and discard grinds if used.
  • Empty the refrigerator and freezer of all contents into a garbage bag(s) and place in outside trash receptacles.
  • Place all trash in the large outside trash bins. Kitchen, bathroom and Laundry room receptacles should be checked. REMEMBER GARBAGE DAYS ARE Monday and Thursday! Kindly set cans out the night before and retrieve after pickup.
  • Return indoor and outdoor furniture to original position.
  • Close and lock all windows and doors.
  • Check the house thoroughly for any personal belongings.
  • Please turn off all lights, ceiling fans and electronic devices.
  • Set thermostat to AUTO MODE. Settings 78* F for air conditioning in SUMMER and 60*F for heat in the winter. Do not turn units off.
  • Lock all doors with the lockbox keys and return key to lock box.

Please leave the home neat and orderly to avoid additional charges. If the cleaning crew finds that the home has been left excessively dirty, you will be billed for the additional cleaning time at a rate of $50 per hour. Please leave the house in as good condition as possible. The cleaner we find it, the faster we can turn it over to the next guest.

Pool Courtesy

We have folding loungers and pool furniture for your use and enjoyment during your stay. Please do not take our pool loungers to the beach. Please do not remove the pool furniture from the pool area. We have an outdoor shower for washing off.

General Items

Complimentary Starter supplies are provided and included:-Toilet Paper, Paper Towels, Small Bar Soap in each Bathroom. You will need to top up your own supplies of these items during your stay.

Items recommended to bring by renter and not provided by owner: Beach towels, Paper and Plastic Products, Napkins, Garbage Bags, Plastic Wrap, Coffee Filters, Soaps and Detergents, Shampoo, Bath Soap, Hand Soap, Laundry Detergent, Dishwasher Detergent , Dish Soap

Sentex Gate Syatem

For Delivery Service or a person wanting to gain entry into Highgate to visit etc. Sentex service will call the villa telephone number automatically at the villa. You tell your caller to push # followed by number 68 this will ring the villa phone. If you wish to allow entry push 9 on your phone. If you do not wish to allow entry you push # on your phone. This will avoid Delivery persons etc having the entry code to the gates, safer security.

Please follow and obey all posted POOL rules:

You are accepting full responsibility for the safety of renting parties and all guests; and agreeing to supervise children to ensure their safety. CHILDREN UNDER THE AGE OF 16 MUST BE SUPERVISED ALL THE TIME IN THE POOL AREA. The owner assumes no responsibility for any accident or injury in connection with such use. Persons using the pool and spa agree with the Owners for and in consideration of the use of the pool and spa, to make no claim against the owners for or on account of any loss of life, personal injury, or damage to or loss of personal property.

POOL RULES are posted by the Managing Agent and must be followed!

  • Please do not take glass containers into the pool area for any reason
  • Please do not hang towels on Pool fence
  • Please do not touch TIMERS, filters, heaters or pool mechanical devices, if you experience a problem please contact the management company or owner immediately
  • Please do not leave your pool toys in the pool or pool area. Items left in the pool area overnight are not secure and may be discarded by the management.
  • Do not remove pool furniture from the pool area
  • Do not bring interior furniture into the pool area
